1. Personal data we process.
RoutiGo distinguishes between two categories when it comes to processing personal data when using our services.
- Information stored in the RoutiGo system itself ("the Service").
- Information stored in supporting systems.
RoutiGo processes the data of both categories in different ways.
1.1 Data in the RoutiGo system
In the RoutiGo system, we record the following data:
- Login names and details of users
- Company name and address
- A list of possible start and end locations.
- Recipient data.
Data such as login details, company name and address and the list of possible start and end locations are created in the system before the first use and can be modified during the use of our product.
Recipient data is submitted by RoutiGo customers via the APIs provided. It depends on the customer exactly what data is provided.
We allow customers to enter the following information:
- (company) name
- Address details
- Phone number and/or email
- Remarks belonging to the address and/or addressee.
This data is used to
- Support our customers in their business operations such as visiting customers or delivering goods.
- Inform users of the expected time window in which the visit or delivery will take place.
How do we store data in RoutiGo
RoutiGo will not keep your personal data longer than strictly necessary to fulfill the purposes for which your data is collected. However, there may be separate agreements per "customer" on how long your data is available in our system.
1.2 Data in supporting systems
RoutiGo collects and records personal data at the time:
- You use our website, register for an event or request information about our products and/or newsletter.
- You contact our Sales team and/or Support team.
- You become a customer of RoutiGo.
This data is used to:
- To understand who our customers and potential customers are.
- To describe the relationship between RoutiGo and customers.
- Perform business operations such as accounting and billing.
What is recorded when you visit the website, register for an event and/or request information
When you visit our website, register for an event or request information, we automatically collect data using cookies, web forms and other technologies. We collect this information to contact you based on what is entered on the web forms and to enhance your online experience and to monitor how our site is used so that we can improve the quality of our services.
What is recorded when you contact our Sales team
During contact with our Sales team you may share personal information, such as your contact information. We store this information along with a record of the various contact moments.
How long do we store this data?
RoutiGo will not keep your data longer than strictly necessary to fulfill the purposes for which your data is collected. Customers can submit a request to view/adjust and/or delete their data, see Viewing, adjusting or deleting data. RoutiGo will consider this request, as long as it will not conflict with the execution of our business operations such as invoicing, etc.
2. Special and/or sensitive personal data we process
Our website and/or service does not intend to collect data on website visitors who are under the age of 16. Unless they have parental or guardian consent. However, we cannot verify whether a visitor is older than 16. Therefore, we encourage parents to be involved in their children's online activities in order to avoid collecting information about children without parental consent. If you believe that we have collected personal information about a minor without such consent, please contact us at privacy@routigo.com and we will delete this information.
3. Automated decision-making
RoutiGo does not make decisions, based on automated processing, about matters that could (significantly) affect individuals. These are decisions made by computer programs or systems, without the presence of a human being (e.g. an employee of RoutiGo).
4. Sharing personal data with third parties
RoutiGo does not sell your information to third parties and will only provide it if it is necessary to execute our agreement with you or to comply with a legal obligation. With companies that process your data on our behalf, we conclude a processor agreement to ensure the same level of security and confidentiality of your data. RoutiGo remains responsible for this processing.
5. Cookies, or similar techniques, that we use
RoutiGo uses only technical, functional and analytical cookies that do not invade your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone the first time you visit this website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website works properly and remember, for example, your preferences. They also allow us to optimize our website. You can opt out of cookies by configuring your Internet browser to stop storing cookies. In addition, you can also delete any information previously stored via your browser settings.
6. Viewing, modifying or deleting data
You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw your possible consent for data processing or object to the processing of your personal data by RoutiGo and you have the right to data portability. This means that you can request us to send the personal data we have on you in a computer file to you or another organization named by you.
You may send a request to access, correct, delete, transfer your personal data, request the revocation of your consent or object to the processing of your personal data to privacy@routigo.com.
To make sure that the request for inspection is made by you, we ask you to send a copy of your ID with the request. In this copy, black out your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.

7. How we secure personal data.
RoutiGo takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you feel that your data is not properly secured or there are indications of misuse, please contact our customer service or via privacy@routigo.com.
8. Privacy policy changes.
This privacy policy is subject to change and may change from time to time. We encourage everyone to review it frequently. If the way we process previously obtained customer data changes, we will communicate these changes by e-mail or other communication methods.
